One channel for every request
When requests are scattered across WhatsApp, calls and personal messages, details get lost. A better approach is a unified form or system that records the customer, project, unit and request type.
A reference number
A reference number turns a conversation into a trackable case. The customer knows the request has been logged, and the team can return to it without asking for the same explanation every time.
Details and photos
A clear description of the issue and a photo or video where needed speeds up diagnosis and reduces unnecessary visits. Attachment upload should be part of the request form.
Priority classification
Not all requests are equal. A priority system helps route cases that affect safety or use of the unit more quickly, according to company policy.
Status updates
The customer needs to know what has happened: received, under review, appointment scheduled, in progress or closed. Silence between opening and closing a case can create a complaint even when work is underway.
Documented closure
After the work is completed, record what was done, the closure date and any follow-up note or visit. Clear closure prevents old cases from remaining open indefinitely.
Analyze recurring causes
The value to management does not end when a request is solved. If the same issue appears in several units, the information should reach development and quality teams so future projects can improve.
